RPA uses software robots to carry out rule-based tasks by operating applications the way a person does, through the same screens, fields, and steps. It suits repetitive work such as data entry, reconciliation, and form processing, particularly where systems cannot easily be integrated directly. 

An integration connects systems through interfaces built for that purpose, which is more durable but requires those interfaces to exist and be accessible. RPA works on top of the application layer, so it can automate almost anything a person can do, at the cost of breaking when that layer changes. 

Work that repeats at volume, follows rules that can be written down, uses digital inputs, runs on reasonably stable systems, and produces a verifiable outcome. Processes that change frequently or depend on judgment people cannot articulate are usually poor candidates regardless of how much time they consume. 

Because they depend on systems that other people change. A renamed field, an interface update, a new login step, an altered document layout, or an expired credential can stop an automation, often without an obvious error. Reducing that exposure is a design decision made before the build.

RPA follows fixed rules. Intelligent automation adds machine learning, document understanding, or language models so the workflow can handle unstructured inputs and variation. Most production automations of any complexity combine both, with rules handling the predictable path.

RPA executes defined steps in a defined order. Agentic AI interprets a goal and selects among approved actions to reach it. They complement each other, with agents providing reasoning and orchestration while deterministic automation carries out the predictable steps. 

Robots hold system access, so we treat their identities as we would a user account. Credentials are stored and rotated under defined controls, permissions are limited to what the process requires, actions are logged for review, and access is designed around your security requirements. 

Maintenance depends on how many systems the process touches, how often those systems change, licensing terms, and the volume of exceptions. We estimate this during assessment, because an automation that requires frequent attention can outweigh the effort it was built to remove.
